When you engage with us, for example by corresponding with us, working with us as a tutor, applying to be a tutor with us or by receiving our services, including as a child receiving our services, we will collect and process personal data about you that you have provided. We collect or use the following information for student education and welfare: names and contact details for students/children, names and contact details for carers, Gender, Date of birth, Special Educational Needs and Disabilities (SEND) or additional support information (includes reasonable adjustments and special educational needs and disabilities), Progress reports.

We collect or use the following information if you are working with us a tutor: if you are working with us as a tutor, we will also collect academic transcripts or certificates, Disclosure and Barring Service (“DBS”) certificates and certificate information, proof of address, proof of identification, proof of name change and bank details.

We collect or use the following personal information for dealing with queries, complaints or claims: names and contact details, payment details, Special Educational Needs and Disabilities (SEND) or additional support information (includes reasonable adjustments and special educational needs and disabilities).

We collect or use the following information for information updates, resources or marketing purposes when signing for newsletters: Names and email address. 

What is the purpose of us collecting and using information? 


For Clients: 

  • to support our students’ learning 

  • to monitor and report on their progress 

  • to assess the quality of our services 

  • to comply with the law regarding data sharing 

  • for safeguarding purposes 

Tutors: 

  • to facilitate communication with parents/carers to deliver lessons effectively

  • to ensure tutors have access to the information necessary to personlise lessons, such as student progress reports, relevant SEND information and educational needs

  • to support safeguarding procedures and student welfare

  • to manage contracts, payments and administrative records

 

Information updates, resources or marketing purposes:

  • to send you requested materials and resources

  • to provide updates, newsletters or other marketing communications related to our services, only with your explicit consent.

  • to improve and personalise the content we send to suit your interests

How long we keep information

We take every precaution to ensure that information is kept safe and protected from unauthorised access. Information will only be kept for a commercially reasonable period of time for the purposes stated in this policy 

Who we share information with

We may share personal information with the tutors to ensure effective lesson delivery such as:

  • Names of students, and relevant contact information

  • Relevant progress reports or feedback

  • Special Educational Needs and Disabilities (SEND) information for reasonable adjustments necessary to support the student’s learning 

Tutors are required to handle all personal data in line with our strict data protection guidelines and are prohibited from using student information for any purpose beyond their teaching duties. 

 

We do not sell or share your information with third parties for marketing purposes. We may use trusted third party email platforms (website and email platform: wix) to delivery newsletters or resources. These platforms process your data on our behalf and comply with data protection laws. 

Links to other websites 

Our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this Privacy Policy. Please exercise caution and review the privacy policy applicable to the website in question.
